Key Responsibilities
- Manage and maintain efficient physical and digital filing systems, ensuring documents are accurately categorized and easily retrievable.
- Handle incoming and outgoing correspondence, including emails, phone calls, and postal mail, directing inquiries to the appropriate personnel.
- Coordinate office supplies, equipment maintenance, and general office upkeep to ensure a productive and comfortable working environment.
- Assist with scheduling appointments, meetings, and travel arrangements for senior staff, managing calendars effectively.
- Prepare and format reports, presentations, and other documents with accuracy and attention to detail.
- Support HR-related administrative tasks, such as onboarding new employees, maintaining personnel records, and coordinating training sessions.
- Process invoices, expense reports, and other financial documentation in coordination with the finance department.
- Act as the primary point of contact for visitors, clients, and suppliers, providing a warm and professional welcome.
- Undertake ad-hoc administrative projects and tasks as required to support the overall operational efficiency of the office.
Required Skills
- Proven experience as an Administrative Assistant, Office Coordinator, or similar role.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy in all tasks.
