Career.zycto is seeking a dedicated Solicitor Assistant to join our thriving practice in Peterculter, Aberdeen. This pivotal role offers a unique opportunity to provide comprehensive administrative and secretarial support across our busy Corporate and Family Law departments. You will play a crucial part in ensuring the smooth operation of both practices, working closely with experienced solicitors to deliver outstanding service to our diverse client base.

In the Corporate Law sphere, you will assist with the preparation of legal documents, company formations, due diligence processes, and general corporate governance tasks. This involves managing extensive documentation, ensuring accuracy, and supporting transactional work. On the Family Law side, your responsibilities will include assisting with divorce proceedings, child arrangements, financial settlements, and other sensitive client matters. This will require a compassionate approach, excellent client communication skills, and the ability to handle confidential information with the utmost discretion.

Key Responsibilities

  • Provide comprehensive administrative and secretarial support to solicitors in both Corporate and Family Law departments.
  • Draft, proofread, and format a wide range of legal documents, correspondence, and reports with meticulous attention to detail.
  • Manage and organise physical and electronic client files, ensuring all documentation is accurate, up-to-date, and easily retrievable.
  • Handle incoming and outgoing communications, including phone calls, emails, and postal mail, filtering and prioritising as necessary.
  • Assist with client onboarding processes, including conflict checks and identity verification procedures.
  • Coordinate and schedule appointments, meetings, and court dates, managing solicitors' diaries effectively.
  • Prepare bundles for court, meetings, and client reviews, ensuring all necessary documentation is included and correctly ordered.
  • Conduct basic legal research as directed by solicitors, compiling summaries and relevant information.
  • Process legal aid applications and private client billing, preparing invoices and managing expenses.
  • Maintain strict confidentiality regarding all client and firm information, adhering to professional conduct rules.

Required Skills

  • Proven experience as a Legal Assistant, Legal Secretary, or similar administrative role, ideally within a legal firm.
  • Exceptional organisational skills with the ability to manage a varied workload and meet tight deadlines.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills, with a professional and empathetic approach.
  • High level of accuracy and attention to detail in all tasks.
  • Ability to work independently and as part of a team.
  • Discretion and unwavering commitment to client confidentiality.
  • A proactive attitude and willingness to learn and adapt.

Preferred Qualifications

  • A relevant legal secretarial qualification (e.g., CILEx Level 2/3 Certificate for Legal Secretaries).
  • Familiarity with legal case management software (e.g., Clio, LawWare, Actionstep).
  • Previous exposure to corporate law, family law, or both.
  • Experience in preparing court bundles and legal aid applications.
  • Understanding of Scottish legal procedures and terminology.
