Job Description

Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner, providing a positive first impression.
  • Schedule and confirm patient appointments, manage the appointment book, and coordinate with clinical staff.
  • Register new patients and update existing patient demographic and insurance information accurately.
  • Answer multi-line phones, respond to inquiries, and direct calls to appropriate departments or personnel.
  • Process patient payments, manage billing inquiries, and maintain accurate financial records.
  • Prepare patient charts, scan documents, and ensure all necessary forms are completed and filed correctly.
  • Maintain strict confidentiality of patient information in compliance with hospital policies and privacy regulations.
  • Assist with general administrative duties such as faxing, scanning, photocopying, and managing incoming/outgoing mail.

Required Skills

  • Minimum of 1 year of experience in a customer service or administrative role, preferably in a medical setting.
  • Excellent verbal and written communication skills in English and Swahili.
  • Proficiency in computer systems, including Microsoft Office Suite and basic office equipment.
  • Strong organizational skills and ability to multitask and prioritize in a busy environment.
  • Exceptional interpersonal skills with a compassionate and patient-focused approach.
  • Ability to maintain composure and professionalism under pressure.

Preferred Qualifications

  • Diploma or Certificate in Medical Administration, Office Management, or a related field.
  • Familiarity with medical terminology and healthcare billing processes.
  • Experience using Electronic Health Record (EHR) systems or medical scheduling software.
  • Knowledge of local Malindi community and cultural nuances.
