Career.zycto is seeking a highly organized, detail-oriented, and proactive Administrative Support Officer to join our back-office team in Natomas, Sacramento. Key Responsibilities

  • Manage and maintain accurate physical and digital filing systems, ensuring document retrieval efficiency and data integrity.
  • Process and track invoices, expense reports, and other financial documentation, liaising with accounting as needed.
  • Prepare, proofread, and format various internal documents, reports, presentations, and correspondence with precision.
  • Coordinate and schedule internal meetings, prepare agendas, record minutes, and ensure follow-up on action items.
  • Administer office supplies inventory, place orders, and manage vendor relationships to ensure adequate stock levels.
  • Assist with onboarding logistics for new employees, including workstation setup and initial documentation processing.
  • Handle incoming and outgoing mail, packages, and communications, directing them to appropriate departments or individuals.
  • Support data entry tasks, ensuring accuracy and compliance with company protocols and data protection regulations.
  • Proactively identify and implement improvements to administrative processes to enhance efficiency and reduce manual effort.
  • Maintain confidentiality of sensitive information and handle all administrative tasks with discretion and professionalism.

Required Skills

  • Minimum of 2 years of experience in an administrative or back-office support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and a commitment to accuracy in all work.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision and as part of a team.
