Key Responsibilities
- Provide comprehensive administrative and personal support to senior executives, managing calendars, scheduling appointments, and coordinating meetings.
- Act as a primary point of contact, screening calls and emails, managing correspondence, and handling inquiries with professionalism and discretion.
- Arrange complex international and domestic travel logistics, including flights, accommodation, ground transportation, and detailed itineraries.
- Prepare and edit presentations, reports, spreadsheets, and other documents, ensuring accuracy and adherence to company standards.
- Organize and maintain filing systems (both digital and physical), ensuring confidentiality and easy retrieval of information.
- Manage expense reports, invoices, and other financial documentation, ensuring timely submission and accuracy.
- Assist with special projects, research, and event planning as required, demonstrating initiative and proactive problem-solving.
- Facilitate effective communication between executives and internal/external stakeholders, serving as a reliable liaison.
- Proactively anticipate executive needs and provide comprehensive support to ensure optimal productivity and efficiency.
Required Skills
- Proven experience as an Executive Assistant or Personal Assistant at a senior level (minimum 4 years).
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- Impeccable written and verbal communication skills in English and German.
