Key Responsibilities

  • Greeting and welcoming clients and visitors with a warm and professional demeanor.
  • Answering, screening, and forwarding incoming phone calls and emails promptly and efficiently.
  • Managing diaries and scheduling appointments for various team members, ensuring optimal time management.
  • Handling incoming and outgoing mail, deliveries, and courier services, maintaining accurate records.
  • Maintaining a tidy, organised, and presentable reception area, reflecting the company's professional image.
  • Assisting with diverse administrative tasks such as data entry, filing, scanning, and document preparation.
  • Processing invoices, expense reports, and other financial documentation as needed, with keen attention to detail.
  • Ordering and maintaining office supplies inventory, ensuring adequate stock levels at all times.
  • Coordinating meeting room bookings, setting up necessary equipment, and preparing refreshments for guests.
  • Supporting event coordination and office-wide initiatives, contributing to team cohesion.
  • Acting as the first point of contact for general inquiries and directing them appropriately to relevant departments.
  • Ensuring compliance with company policies and procedures, upholding operational standards.

Required Skills

  • Proven experience (minimum 1 year) as a Receptionist, Front Office Representative, or similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for various administrative tasks.

  • Solid written and verbal communication skills, with excellent interpersonal abilities.
