Job Description

Career.zycto is seeking an exceptional Personal Assistant with a strong focus on diary and travel management to provide comprehensive administrative and organisational support to our senior leadership team. This pivotal role requires an individual who is not only impeccably organised but also possesses a proactive mindset, strong communication skills, and an unwavering commitment to discretion and professionalism. Key Responsibilities

  • Proactively manage and maintain complex diaries, scheduling appointments, meetings, and conferences with precision and foresight.
  • Coordinate extensive domestic and international travel arrangements, including flights, accommodation, visas, and ground transportation, ensuring cost-effectiveness and efficiency.
  • Prepare detailed travel itineraries, briefing packs, and pre-meeting documentation to ensure executives are fully prepared.
  • Act as the primary point of contact, screening calls, emails, and correspondence, and directing enquiries appropriately or handling them independently where possible.
  • Organise and prepare for meetings, including booking venues, arranging refreshments, setting up AV equipment, distributing agendas, and taking minutes when required.
  • Process expenses, invoices, and purchase orders accurately and promptly, ensuring compliance with company policies.
  • Manage and organise electronic and physical filing systems, ensuring confidentiality and easy retrieval of information.
  • Undertake research, compile reports, and prepare presentations as directed by the senior leadership team.
  • Build strong working relationships with internal and external stakeholders, representing Career.zycto professionally at all times.
  • Handle highly sensitive and confidential information with absolute discretion and integrity.

Required Skills

  • Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role, with a strong emphasis on diary and travel management.
  • Exceptional organisational and time management skills, with the ability to multitask and prioritise effectively in a dynamic environment.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with calendar management software.
  • Impeccable communication skills, both written and verbal, with a professional and articulate demeanour.
  • High level of discretion, integrity, and confidentiality.
  • Proactive problem-solving abilities and a keen eye for detail.
  • Ability to work independently and as part of a team, demonstrating initiative and a strong work ethic.

Preferred Qualifications

  • Relevant secretarial or administrative qualification (e.g., NVQ, Diploma).
  • Experience working within a professional services or recruitment environment.
  • Familiarity with various travel booking platforms and expense management systems.
