Job Description

Career.zycto is seeking a diligent and detail-oriented Billing Officer to join our client’s finance team in Mitte, Wiesbaden. This full-time, on-site role is pivotal to ensuring the smooth and accurate processing of invoices, managing accounts receivable, and maintaining robust financial records. As a Billing Officer, you will be at the heart of our financial operations, responsible for generating precise billing statements, tracking payments, and resolving discrepancies with a high degree of professionalism.

Your day-to-day will involve meticulously reviewing sales orders, contracts, and service agreements to ensure all billing is compliant with company policies and regulatory standards. You will utilize your excellent organizational skills to manage a high volume of transactions, ensuring timely and accurate invoicing, and subsequently, prompt payment collection. This role demands not just a head for numbers, but also strong communication skills to liaise effectively with clients, internal sales teams, and other finance departments.

Key Responsibilities

  • Prepare, issue, and distribute accurate invoices to clients in a timely manner.
  • Monitor accounts receivable to ensure payments are received on time and follow up on overdue accounts.
  • Reconcile customer accounts and resolve billing discrepancies and inquiries promptly.
  • Maintain up-to-date customer records and billing information in the accounting system.
  • Collaborate with sales, customer service, and other internal departments to ensure billing accuracy.
  • Generate various billing reports, including aging reports and monthly summaries.
  • Assist with month-end closing procedures related to billing and revenue recognition.
  • Ensure compliance with all relevant financial regulations and company policies.
  • Identify and recommend improvements to billing processes and systems for greater efficiency and accuracy.

Required Skills

  • Proven experience as a Billing Officer, Billing Clerk, or similar role.
  • Solid understanding of basic accounting principles and billing procedures.
  • Proficiency in accounting software (e.g., SAP, QuickBooks, Datev) and MS Office Suite, especially Excel.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills in German and English.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
  • Experience with ERP systems specific to billing modules.
  • Knowledge of local German billing regulations and tax laws.
