Job Description
We are seeking a meticulous and dedicated Part-Time Records Clerk to join our administrative team in Songo, Tete Province. This essential role is critical to maintaining the accuracy, accessibility, and integrity of HCB’s vital documentation and information. As a Records Clerk, you will be responsible for the systematic organization, storage, and retrieval of both physical and digital records, ensuring compliance with our stringent data management policies and regulatory requirements. Your keen eye for detail will be paramount in upholding confidentiality and supporting the smooth operation of various departments. Key Responsibilities
- Organize, classify, and maintain both physical and electronic records according to established HCB procedures and regulatory standards.
- Perform accurate data entry and update information within record management systems, ensuring data integrity and consistency.
- Efficiently retrieve requested documents and information for authorized personnel, adhering to strict timelines and confidentiality protocols.
- Assist with the scanning, indexing, archiving, and eventual disposal of records in accordance with HCB’s record retention policies.
- Ensure the confidentiality and security of all sensitive information and documents under your purview.
- Support general administrative tasks, including preparing reports, managing office supplies related to records, and assisting with audits.
- Identify and correct discrepancies in records, ensuring all documentation is complete and accurate.
- Collaborate effectively with team members and other departments to facilitate seamless information flow.
- Adhere strictly to company policies, procedures, and legal requirements regarding records management and data protection.
Required Skills
- Proven organizational and time management skills with an ability to multitask.
- Exceptional attention to detail and a high level of accuracy in data handling.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry and document creation.
- Demonstrated ability to handle confidential and sensitive information with discretion and integrity.
- Strong verbal and written communication skills in English.
- Ability to work independently with minimal supervision and as an effective team member.
- Problem-solving aptitude for identifying and resolving record-keeping issues.
Preferred Qualifications
- Secondary school certificate or equivalent qualification.
- Previous experience (1+ year) in a records management, administrative, or data entry role, preferably in a corporate setting.
- Familiarity with electronic document management systems (EDMS) or similar database applications.
- Fluency in Portuguese (official language of Mozambique) is highly advantageous.
