Career.zycto is actively seeking a highly skilled and motivated freelance Event Planner specializing in both enchanting weddings and impactful corporate events. Based in the picturesque locale of Billy’s Bay, Treasure Beach, you will play a pivotal role in bringing our clients’ dreams to life, from initial concept to flawless execution. This unique opportunity allows you to operate with significant autonomy, managing a diverse portfolio of projects ranging from intimate beachside ceremonies and grand matrimonial celebrations to sophisticated corporate retreats, conferences, and brand activations.

As a freelance Event Planner with Career.zycto, you will be responsible for the full lifecycle of event management. This includes conducting thorough client consultations to understand their vision, objectives, and budgetary constraints. You will then develop innovative event concepts, detailed proposals, and comprehensive timelines, ensuring every element aligns with client expectations. A critical aspect of this role involves meticulous vendor research and negotiation, securing the best rates and services for venues, catering, décor, entertainment, logistics, and technical support, all while upholding our high standards of quality and professionalism. You will also manage event budgets diligently, tracking all expenditures and providing regular financial reports.

On the day of the event, your leadership will be crucial. You will oversee all aspects of setup, coordination, and breakdown, ensuring that everything runs smoothly and according to plan. Your ability to anticipate challenges, troubleshoot issues efficiently, and maintain a calm, professional demeanor under pressure will be essential. Key Responsibilities

  • Conduct comprehensive client consultations to define event objectives, scope, and budget for weddings and corporate functions.
  • Develop creative and innovative event concepts, detailed proposals, and comprehensive event timelines.
  • Source, negotiate with, and manage a diverse range of vendors including venues, caterers, florists, entertainers, and technical suppliers.
  • Meticulously manage event budgets, track all expenses, and ensure financial targets are met.
  • Create detailed floor plans, seating arrangements, and logistical plans for various event types.
  • Oversee all aspects of on-site event execution, including setup, coordination of vendors and staff, and breakdown.
  • Manage guest lists, RSVPs, and provide event-specific information as required.
  • Conduct post-event evaluations, gather feedback, and analyze event success metrics.
  • Maintain up-to-date knowledge of industry trends, best practices, and local resources in Billy’s Bay and Treasure Beach.

Required Skills

  • Proven experience in full-cycle event planning and management (weddings and corporate events).
  • Exceptional organizational and time management abilities.
  • Strong negotiation and vendor management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in project management and event planning software (e.g., Asana, Trello, Microsoft Project).
  • Creative problem-solving and critical thinking under pressure.
  • Ability to work independently and manage multiple projects concurrently.
  • Detail-oriented with a commitment to delivering high-quality results.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
  • Professional certification (e.g., Certified Special Events Professional – CSEP).
  • Established network of local vendors and service providers in St. Elizabeth Parish.
  • Experience working with diverse international clientele.
  • Fluency in additional languages beyond English, particularly local Jamaican Patois.
