Job Description

We are seeking a highly motivated and impeccably organized Front Desk Administrative Associate to join our esteemed team at Changuu Private Island Resort. This pivotal full-time role serves as the first point of contact for our discerning guests, setting the tone for their luxurious island escape. You will be responsible for providing exceptional administrative support and maintaining the highest standards of guest service, ensuring a seamless and welcoming experience from arrival to departure. Beyond typical front desk duties, this role requires a proactive approach to problem-solving, a keen eye for detail, and the ability to multitask effectively in a dynamic, high-end hospitality environment. You will be instrumental in managing reservations, coordinating with various resort departments, and handling guest inquiries with professionalism and charm. Key Responsibilities

  • Greet and welcome guests warmly upon arrival and manage efficient check-in and check-out processes.
  • Handle all incoming calls, emails, and resort correspondence with professionalism and promptness.
  • Manage guest reservations, modifications, and cancellations accurately using resort management software.
  • Provide comprehensive information about resort facilities, services, island history, and local attractions.
  • Assist guests with inquiries, special requests, and resolve any concerns or complaints promptly and effectively.
  • Process payments, manage cash handling, and ensure accurate billing procedures.
  • Maintain an organized, clean, and welcoming front desk and lobby area.
  • Coordinate closely with housekeeping, concierge, F&B, and other departments to ensure seamless guest services.
  • Perform general administrative duties including filing, data entry, and preparing reports.
  • Act as a brand ambassador for Changuu Private Island Resort, upholding our standards of luxury and service excellence.

Required Skills

  • Proven experience in a customer service or administrative role, preferably within hospitality.
  • Excellent verbal and written communication skills in English and Swahili.
  • Strong organizational and multitasking abilities with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Demonstrated problem-solving skills and a proactive attitude.
  • A professional demeanor and appearance with a positive, 'can-do' attitude.
  • Ability to handle confidential information with discretion.

Preferred Qualifications

  • Diploma or degree in Hospitality Management, Business Administration, or a related field.
  • Previous experience with hotel management software (e.g., Opera, Fidelio).
  • Fluency in additional languages (e.g., French, German, Italian, Arabic).
  • Experience working in a luxury hotel or resort setting.
