Job Description
We are actively seeking a highly organized and detail-oriented Site Clerk specializing in Construction Documentation to join our project team in Mombasa County, Kenya. This crucial role is the backbone of our site operations, ensuring that all project-related documentation is meticulously maintained, easily accessible, and compliant with industry standards and regulatory requirements. The successful candidate will be instrumental in managing the flow of information, from initial project blueprints and permits to daily progress reports, material logs, safety records, and final close-out documents.
Your day-to-day will involve a wide range of administrative and documentation tasks, directly supporting the Site Manager, project engineers, and other team members. You will be responsible for setting up and maintaining an efficient filing system, both physical and digital, managing incoming and outgoing correspondence, preparing project reports, and assisting with procurement documentation. This position requires someone with a strong work ethic, exceptional organizational skills, and the ability to thrive in a fast-paced construction environment. You will play a vital role in ensuring that all administrative aspects of our construction projects run smoothly, thereby contributing significantly to project efficiency, compliance, and ultimately, our success. Key Responsibilities
- Establish and maintain comprehensive physical and digital filing systems for all project documentation, including drawings, specifications, contracts, and permits.
- Manage the flow of project-related correspondence, including logging, distribution, and archiving of incoming and outgoing letters, emails, and memoranda.
- Assist in the preparation, formatting, and submission of various project reports, such as daily progress reports, weekly summaries, and monthly updates.
- Track and reconcile material deliveries, ensuring proper documentation (delivery notes, waybills) is captured and filed, and discrepancies are reported.
- Process and file site safety documentation, including incident reports, toolbox talk records, and safety inspection checklists.
- Provide administrative support to the Site Manager and project team, including scheduling meetings, preparing meeting minutes, and managing office supplies.
- Ensure all documentation adheres to company policies, project requirements, and relevant industry standards and regulations.
- Assist in the compilation of project close-out documentation, including as-built drawings and operation and maintenance manuals.
- Maintain confidentiality of sensitive project information and company data.
Required Skills
- Proven experience as a Site Clerk or similar administrative role in the construction industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Exceptional organizational skills and meticulous attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a dynamic environment.
- Demonstrated ability to work independently and collaboratively within a team.
- Basic understanding of construction project documentation and administrative processes.
Preferred Qualifications
- Diploma in Business Administration, Secretarial Studies, or a related field.
- Familiarity with construction management software (e.g., AutoCAD, Primavera, MS Project, or similar document management systems).
- Knowledge of local construction industry practices and regulatory frameworks in Kenya.
