Job Description
We are seeking a highly organized, professional, and client-focused Office Receptionist to join our dynamic legal team in Wajir, Wajir County. This pivotal role serves as the first point of contact for our clients and visitors, embodying the professionalism and welcoming spirit of Muriu Mungai & Co. Advocates. The successful candidate will be instrumental in ensuring the smooth daily operation of our office, managing administrative tasks, and providing exceptional support to our legal professionals. Key Responsibilities
- Warmly greet and welcome clients and visitors, ensuring a positive and professional first impression.
- Manage incoming calls, directing them appropriately, taking accurate messages, and handling general inquiries with courtesy and efficiency.
- Schedule and confirm client appointments, meetings, and conference room bookings, maintaining organized calendars.
- Oversee the general tidiness and presentation of the reception area and common spaces.
- Sort, distribute, and manage incoming and outgoing mail, deliveries, and couriers, ensuring timely processing.
- Provide administrative support to lawyers and paralegals, including typing documents, scanning, photocopying, and filing.
- Maintain strict confidentiality of all client information and sensitive legal documents.
- Manage office supplies inventory, place orders, and ensure the reception area is well-stocked.
- Assist with basic data entry and updating client records in the firm’s system.
- Perform other clerical duties as assigned to support the efficient operation of the office.
Required Skills
- Proven experience in a reception or administrative role, preferably within a professional office environment.
- Exceptional verbal and written communication skills in English and Swahili.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time management skills with the ability to multitask effectively.
- A professional, friendly, and courteous demeanor with excellent interpersonal skills.
- High level of discretion and ability to handle confidential information with integrity.
- Attention to detail and accuracy in all tasks.
Preferred Qualifications
- Diploma or Certificate in Business Administration, Office Management, Secretarial Studies, or a related field.
- Previous experience working in a law firm or legal department.
- Familiarity with basic legal terminology and office procedures.
- Ability to communicate effectively in local languages prevalent in Wajir County (e.g., Somali).
