Career.zycto is seeking a highly organized, proactive, and exceptionally detail-oriented Executive Assistant to provide comprehensive administrative and strategic support to our senior leadership team based in Downtown Biddeford. Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel itineraries.
- Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Act as the primary point of contact and liaison between executives and internal/external stakeholders.
- Handle confidential information with discretion and integrity.
- Organize and maintain filing systems and databases.
- Prepare agendas for meetings, take minutes, and follow up on action items.
- Conduct research, compile data, and prepare reports as requested.
- Assist with special projects, events, and initiatives as needed.
- Process expense reports and manage invoices.
- Oversee office supplies and equipment, ensuring the executive office is well-stocked and functional.
Required Skills
- Minimum of 3-5 years of experience as an Executive Assistant supporting senior-level management.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
- Strong written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Proactive problem-solving abilities and a strong sense of urgency.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Demonstrated ability to work independently and as part of a team.
- Excellent interpersonal skills and professional demeanor.
