Key Responsibilities
- Manage complex executive calendars, scheduling appointments, meetings, and travel arrangements with acute attention to detail and proactive problem-solving.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring high quality and adherence to brand standards.
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, distributing materials, and ensuring necessary technology is set up.
- Handle sensitive and confidential information with the highest level of discretion and integrity.
- Act as a primary point of contact and liaison among executives, employees, clients, and external partners.
- Process expense reports, manage invoices, and assist with budget tracking for the executive team.
- Anticipate executive needs and proactively resolve administrative issues, demonstrating initiative and sound judgment.
- Assist in the planning and execution of company events, team off-sites, and special projects as required.
Required Skills
- 5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting senior leadership.
- Proven ability to manage multiple priorities, projects, and deadlines in a fast-paced environment.
- Exceptional organizational and time management skills with a strong attention to detail.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint).
- Excellent written and verbal communication skills, with the ability to interact professionally with all levels of the organization and external stakeholders.
- Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration or a related field.
- Experience working in a large, publicly traded retail or consumer goods company.
- Familiarity with project management software and enterprise resource planning (ERP) systems.
- Strong problem-solving capabilities and a proactive approach to anticipating needs.
- Experience in supporting executives in a hybrid work model, demonstrating adaptability to various communication and collaboration methods.
