Key Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements for senior management.
  • Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and professional presentation.
  • Organize and coordinate internal and external meetings, including preparing agendas, recording minutes, and tracking action items.
  • Act as a primary point of contact for internal and external stakeholders, handling inquiries and directing calls appropriately with professionalism and discretion.
  • Assist in the preparation of reports, analyses, and presentations by gathering data, conducting research, and compiling information.
  • Maintain highly confidential information, documents, and records with utmost integrity and discretion.
  • Support project coordination efforts, tracking progress, deadlines, and communicating updates to relevant parties.
  • Process expense reports, invoices, and other financial documentation in accordance with company policies.
  • Streamline administrative procedures and develop efficient systems to enhance organizational productivity.
  • Proactively anticipate management needs and independently resolve issues to ensure smooth operations.

Required Skills

  • Minimum of 4 years of proven experience in an Executive Assistant, Coordinator, or similar management support role.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Outstanding written and verbal communication skills, with a keen eye for detail and grammar.
  • Strong interpersonal skills, demonstrating professionalism, tact, and the ability to build rapport.
  • Demonstrated ability to handle confidential information with discretion and integrity.
  • Proactive problem-solver with a strong sense of initiative and resourcefulness.
