Job Description

We are seeking a highly organized, enthusiastic, and dedicated Entry-Level School Secretary to join the administrative team at a vibrant middle school located in the heart of Como Park, St. Paul. Key Responsibilities

  • Manage the front office, greeting visitors, students, and parents with a friendly and helpful demeanor.
  • Answer and direct incoming phone calls, taking messages and providing information as needed.
  • Maintain accurate and confidential student records, including attendance, enrollment, and contact information.
  • Process incoming and outgoing mail, deliveries, and packages.
  • Assist with scheduling appointments, meetings, and school events.
  • Prepare correspondence, reports, presentations, and other documents.
  • Manage office supplies inventory and place orders as necessary.
  • Support faculty and staff with administrative tasks, including photocopying, filing, and data entry.
  • Assist with student registration and enrollment processes.
  • Communicate effectively with parents regarding school policies, events, and student-related matters.
  • Handle minor first aid situations and coordinate with school nurses or emergency services when required.
  • Maintain a clean, organized, and professional office environment.

Required Skills

  • High School Diploma or GED.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Friendly, approachable, and professional demeanor.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Basic knowledge of office equipment (printers, scanners, fax machines).

Preferred Qualifications
