Job Description

We are seeking a highly motivated and detail-oriented Human Resources Onboarding Coordinator to join our dynamic HR team. This pivotal role is essential in ensuring a seamless, welcoming, and efficient onboarding experience for all new hires joining National Foods Limited across various departments and locations within Zimbabwe. As an Onboarding Coordinator, you will be the first point of contact for our new employees, guiding them meticulously through the initial stages of their journey with us. Your primary responsibilities will include coordinating all pre-employment activities, preparing essential documentation, facilitating engaging orientation sessions, and ensuring new hires are set up for success from day one, whether they are joining us on-site or remotely. This role offers the flexibility of a remote option, allowing for a hybrid work model that intelligently balances necessary on-site collaboration with the convenience and productivity of working from home. Key Responsibilities

  • Manage the end-to-end onboarding process for all new hires, from offer acceptance through to their successful integration into respective teams.
  • Coordinate and schedule all pre-employment checks, including background verification, reference checks, and medical examinations as required.
  • Prepare and disseminate all new hire paperwork, including offer letters, employment contracts, and benefits enrollment forms, ensuring accuracy and full compliance with company policies and labor laws.
  • Facilitate engaging and informative virtual and in-person orientation sessions, effectively introducing new employees to our company culture, values, policies, and procedures.
  • Act as the primary point of contact for new hires, addressing their queries and providing continuous support and guidance during their initial weeks.
  • Collaborate proactively with IT, facilities, and relevant departmental managers to ensure new employees have all necessary equipment, system access, and appropriate workspaces (whether on-site or remote) ready for their start date.
  • Maintain accurate, confidential, and up-to-date employee records in the HR Information System (HRIS).
  • Develop and continuously improve onboarding programs and materials to enhance the new hire experience and align with industry best practices.
  • Gather feedback regularly from new hires and hiring managers to identify areas for improvement within the onboarding process and implement effective solutions.
  • Assist with other HR administrative tasks, special projects, and initiatives as needed to support the broader HR function.

Required Skills

  • Proven experience (minimum 2 years) in Human Resources, specifically within an onboarding, HR administrative, or coordination role.
  • Strong understanding of HR principles, employment laws, and best practices relevant to the Zimbabwean context.
  • Exceptional organizational and time management skills with meticulous attention to detail and ability to manage multiple priorities.
  • Excellent verbal and written communication skills, with the ability to interact professionally and empathetically at all organizational levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and practical experience with HR Information Systems (HRIS).
  • Ability to work independently, exercise sound judgment, and collaborate effectively as part of a team in a fast-paced, dynamic environment.
  • Demonstrated ability to maintain the highest level of confidentiality and handle sensitive employee information with discretion and integrity.

Preferred Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Industrial Psychology, or a related field.
  • Professional certification in Human Resources (e.g., IPMZ, CIPD, SHRM) is a distinct advantage.
  • Prior experience with remote onboarding processes and leveraging digital tools for an enhanced new hire experience.
  • In-depth familiarity with Zimbabwean labor laws and regulations.
  • Experience working within the food and beverage manufacturing or agriculture sectors.
