Key Responsibilities

  • Greet and welcome patients and visitors in a friendly and professional manner.
  • Schedule and confirm patient appointments, managing the clinic's calendar efficiently.
  • Answer incoming calls, respond to inquiries, and direct calls to appropriate staff members.
  • Register new patients, update existing patient demographics, and process necessary forms.
  • Verify patient insurance information and collect co-payments or outstanding balances.
  • Maintain patient records, ensuring accuracy, confidentiality, and compliance with privacy regulations (e.g., HIPAA if applicable, or local equivalents).
  • Prepare examination rooms and assist with patient flow as needed.
  • Manage incoming and outgoing mail, faxes, and electronic communications.
  • Handle billing inquiries and coordinate with billing departments or third-party payers.
  • Maintain a tidy and organized reception area and waiting room.
  • Assist with inventory management of office supplies and medical forms.
  • Liaise with medical staff to ensure seamless patient care coordination.
  • Adhere to all clinic policies and procedures, including health and safety guidelines.

Required Skills

  • Minimum of 1 year of experience in a medical receptionist or similar administrative role.
  • Excellent verbal and written communication skills in English.
  • Proficiency in using office software (MS Office Suite) and medical office systems/EMR.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Exceptional interpersonal and customer service skills with a compassionate approach.
