Key Responsibilities
- Oversee and manage the daily administrative operations of the school, ensuring efficiency and compliance with school policies and regulations.
- Maintain accurate student records, attendance, grades, and confidential staff files, adhering to data protection guidelines.
- Coordinate and schedule meetings, appointments, and school events, managing calendars for senior staff and faculty.
- Handle communications with parents, guardians, and external bodies, including responding to inquiries, drafting correspondence, and disseminating information.
- Manage school finances, including processing invoices, tracking budgets, assisting with payroll, and handling petty cash.
- Support the recruitment and onboarding process for new staff members, including preparing documentation and coordinating inductions.
- Assist in the procurement of school supplies and equipment, managing inventory and vendor relationships.
- Facilitate the smooth running of school facilities, coordinating maintenance and ensuring a safe and conducive learning environment.
- Provide administrative support to the Head of School, teachers, and other staff members as needed.
- Contribute to the development and implementation of administrative policies and procedures to enhance operational efficiency.
- Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of information.
Required Skills
- Minimum of 3 years of proven experience in an administrative or office management role, preferably within an educational setting.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with school management software (e.g., SIMS, Gradelink).
- Excellent written and verbal communication skills in English.
- Strong interpersonal skills with the ability to interact professionally with diverse stakeholders, including students, parents, and staff.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive problem-solving abilities and a keen eye for detail.
