Job Description

Career.zycto is actively seeking a highly motivated and detail-oriented Trade Show Specialist to join our marketing and events team in Regina, Saskatchewan. This full-time role is central to our client engagement strategy, focusing on the meticulous planning, execution, and optimization of trade shows, conferences, and various B2B events across Canada. You will be instrumental in enhancing our brand visibility, generating high-quality leads, and fostering crucial business relationships through impactful event experiences. The ideal candidate will possess a proven track record in event management, strong project coordination skills, and a creative, proactive approach to showcasing products and services. You will manage all logistical aspects from concept development to post-event analysis, ensuring seamless operations, adherence to budget, and maximum return on investment. This includes comprehensive vendor negotiations, meticulous budget management, coordination of all promotional materials, and hands-on, on-site event supervision. Key Responsibilities

  • Lead the end-to-end planning, organization, and flawless execution of trade shows, industry conferences, and client-specific events.
  • Develop comprehensive event strategies aligned with overarching marketing objectives, lead generation goals, and brand positioning.
  • Manage and meticulously track event budgets, negotiate effectively with vendors, and secure optimal pricing for venues, services, and materials.
  • Coordinate the design, production, and timely delivery of all event-related collateral, including booths, signage, brochures, and promotional items.
  • Oversee all logistical aspects, including travel arrangements, accommodation, equipment rental, freight management, and staffing schedules.
  • Collaborate cross-functionally with sales, marketing, product development, and executive teams to ensure cohesive messaging and successful event participation.
  • Identify, select, and manage relationships with external suppliers, contractors, and agencies to ensure high-quality service delivery.
  • Conduct thorough pre-event planning and post-event analysis, including comprehensive lead tracking, robust ROI measurement, and detailed performance reporting.
  • Manage event registration processes, communicate effectively with attendees, and maintain accurate event databases.
  • Ensure all events strictly adhere to brand guidelines, safety regulations, and company policies, minimizing risks.

Required Skills

  • Minimum of 2 years of progressive experience in trade show management, event planning, or corporate event coordination.
  • Demonstrated ability to manage multiple complex projects simultaneously from conception to successful completion.
  • Proficiency in budget management, financial tracking, and expert vendor negotiation.
  • Exceptional organizational skills, keen attention to detail, and superior time management abilities.
  • Strong verbal and written communication, compelling interpersonal, and professional presentation skills.
  • Proven ability to work independently with minimal supervision and collaboratively within a diverse team-oriented environment.
  • Proficiency with event management software (e.g., Cvent, Eventbrite) and CRM systems (e.g., Salesforce, HubSpot).
  • High degree of adaptability, resourcefulness, and proven problem-solving skills in high-pressure, dynamic event environments.
  • Willingness and ability to travel for events as required, potentially including evenings and weekends.

Preferred Qualifications

  • Bachelor’s degree in Marketing, Communications, Business Administration, or a closely related field.
  • Experience with digital event platforms and the successful execution of virtual or hybrid event formats.
  • Certification in Event Management (e.g., CMP – Certified Meeting Professional, CSEP).
  • Proven experience in developing strategies for lead generation and direct sales support through events.
  • Familiarity with the Saskatchewan business landscape and a network of local vendors and venues.
