Key Responsibilities
- Prepare, proofread, and format legal documents, correspondence, pleadings, and briefs with meticulous attention to detail and accuracy.
- Manage and organize physical and electronic case files, ensuring all documents are correctly filed, accessible, and up-to-date.
- Schedule appointments, court dates, meetings, and manage lawyers' calendars efficiently.
- Act as a primary point of contact for clients, opposing counsel, and court staff, handling inquiries professionally and directing calls as necessary.
- Conduct preliminary legal research under the supervision of lawyers, retrieving relevant statutes, regulations, and case law.
- Assist in the preparation for trials, hearings, and client meetings, including assembling binders and discovery documents.
- Process and track billing, expenses, and invoices, ensuring accuracy and timely submission.
- Maintain strict confidentiality and exercise discretion regarding all client matters and firm information.
- Perform general administrative duties such as scanning, copying, mailing, and maintaining office supplies.
- Transcribe dictation accurately and efficiently from various audio formats.
Required Skills
- Minimum of 2-3 years of proven experience as a Legal Assistant or Legal Secretary, preferably in a multi-disciplinary legal practice.
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with legal practice management software.
- Superior organizational and time management skills with the ability to prioritize tasks, manage workflow, and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills, with a keen eye for grammar, spelling, and punctuation.
- Demonstrated ability to maintain confidentiality and exercise discretion and sound judgment.
- High degree of accuracy and attention to detail in all tasks.
- Ability to work independently as well as collaboratively within a team-oriented environment.
- Solid knowledge of legal terminology, court procedures, and legal document formatting standards.
Preferred Qualifications
- A diploma or certificate from an accredited Legal Assistant or Paralegal program.
- Experience with a specific case management system (e.g., Clio, PCLaw) relevant to Canadian legal practice.
- Familiarity with Yukon court rules, procedures, and relevant legislation.
- Experience in specific areas of law such as corporate, real estate, or civil litigation.
- Bilingualism (English/French) is considered a valuable asset.
