Key Responsibilities

  • Schedule and confirm patient appointments, ensuring optimal clinic flow and resource utilization.
  • Serve as the primary point of contact for patients, addressing inquiries, providing information, and resolving concerns with professionalism and empathy.
  • Manage and maintain accurate patient records, ensuring strict adherence to confidentiality protocols and data protection regulations.
  • Coordinate with doctors, nurses, and other medical staff to facilitate seamless patient care and communication.
  • Handle patient registrations, check-ins, and check-outs, including processing necessary paperwork and updating demographic information.
  • Assist patients with understanding their treatment plans, appointment schedules, and any necessary pre-appointment instructions.
  • Manage patient correspondence, including appointment reminders, follow-up calls, and general communications.
  • Process referrals, authorizations, and assist with basic billing and insurance coordination.
  • Contribute to maintaining a welcoming, organized, and efficient office environment.

Required Skills

  • Minimum of 1.5 years experience in a patient-facing administrative or customer service role, preferably in a healthcare setting.
  • Exceptional verbal and written communication skills with a strong command of English and Portuguese.
  • Demonstrated ability to multitask, prioritize, and manage time effectively in a busy environment.
  • Proficiency in using computer systems, including patient management software or Electronic Medical Records (EMR).
  • Outstanding organizational skills and meticulous attention to detail.
  • Strong problem-solving abilities and a proactive approach to patient care.
  • Proven ability to maintain patient confidentiality and handle sensitive information with discretion.

Preferred Qualifications

  • Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
  • Familiarity with medical terminology and healthcare industry practices.
  • Experience working with diverse patient populations and understanding of cultural sensitivities.
  • Fluency in additional local languages relevant to Mocímboa da Praia (e.g., Kimwani, Makonde).
