Job Description

Career.zycto is seeking a highly organised, proactive, and discreet Executive Assistant to provide comprehensive administrative and executive support to our senior leadership team based in Ecclesall, Sheffield. As an Executive Assistant, you will be the linchpin ensuring seamless operations, managing complex schedules, and acting as a primary point of contact for internal and external stakeholders. Key Responsibilities

  • Manage and maintain executives' schedules, including arranging appointments, meetings, and conferences.
  • Organise extensive domestic and international travel itineraries and accommodation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research, compile data, and prepare reports and presentations for executive review.
  • Act as the primary point of contact and liaison for internal and external stakeholders.
  • Handle sensitive information with the utmost discretion and confidentiality.
  • Manage incoming calls, emails, and postal mail, filtering and prioritising as appropriate.
  • Coordinate and prepare for meetings, including agenda preparation, minute taking, and follow-up on action items.
  • Process expenses, invoices, and other financial documentation.
  • Assist with special projects and events as required by the leadership team.

Required Skills

  • Minimum of 4 years of experience as an Executive Assistant supporting senior management.
  • Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Superior organizational and time management skills with a proven ability to multitask.
  • Outstanding written and verbal communication abilities.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Proactive problem-solving skills and a strong attention to detail.
  • Ability to work independently and as part of a team in a dynamic environment.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience with project management software or CRM systems.
