Key Responsibilities
- Provide comprehensive administrative and secretarial support to city councillors, committee members, and department heads.
- Manage diaries, schedule appointments, and coordinate meetings, including booking venues and arranging refreshments.
- Prepare, distribute, and archive meeting agendas, minutes, reports, and other official documents with accuracy and in a timely manner.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring appropriate routing and responses.
- Maintain organised filing systems, both digital and physical, for records, documents, and sensitive information.
- Conduct research and gather information as required to support council initiatives and projects.
- Act as a first point of contact for internal and external enquiries, redirecting queries or providing information as appropriate.
- Assist with the preparation of presentations, reports, and other communications materials.
- Liaise effectively with various council departments, external organisations, and members of the public.

Required Skills
