Key Responsibilities

  • Provide comprehensive administrative and secretarial support to assigned executives.
  • Assist in managing complex calendars, scheduling appointments, and coordinating meetings (both internal and external).
  • Prepare, proofread, and edit a variety of documents, including correspondence, reports, presentations, and memos.
  • Organize and maintain efficient filing systems, both digital and physical, ensuring data integrity and accessibility.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries.
  • Handle incoming and outgoing communications, screening calls and emails, and directing inquiries appropriately.
  • Process expense reports, invoices, and other financial documentation with accuracy and timeliness.
  • Assist with special projects, research tasks, and event planning as assigned by executives.
  • Maintain confidentiality of sensitive information and exercise discretion in all communications.
  • Support general office operations and contribute to a positive and productive work environment.

Required Skills

  • High school diploma or equivalent.
  • Strong verbal and written communication skills in both English and French (Bilingualism is a significant asset in Quebec).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management abilities, with a keen eye for detail.
  • Demonstrated ability to learn quickly and adapt to new processes and technologies.
  • Proactive attitude, strong initiative, and a willingness to take on new challenges.

Preferred Qualifications
