Key Responsibilities

  • Manage and maintain executive calendars, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and coordinate internal and external meetings, conferences, and special events, handling all logistical details.
  • Serve as a primary point of contact for internal and external stakeholders, handling inquiries and directing calls appropriately.
  • Develop, implement, and maintain efficient filing systems, both electronic and physical, for comprehensive record-keeping.
  • Assist in the preparation of detailed reports, analyses, and data presentations.
  • Oversee office supply inventory, procure necessary items, and manage vendor relationships effectively.
  • Provide administrative support for new employee onboarding processes and general HR tasks.
  • Process expense reports, invoices, and manage petty cash or small budgets as required.
  • Implement and maintain administrative systems and procedures to enhance office efficiency.

Required Skills

  • Proven experience (minimum 3 years) as an administrative assistant, office manager assistant, or similar role.
  • Exceptional written and verbal communication skills in German and English (C1 level or higher).
  • High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and modern office management software.
  • Strong organizational, time management, and planning skills with meticulous attention to detail.
  • Demonstrated ability to prioritize tasks, manage multiple projects, and work effectively under pressure.
  • Unwavering discretion and confidentiality when handling sensitive information.
