Key Responsibilities

  • Manage and maintain office calendars, schedule meetings, and coordinate appointments.
  • Prepare and disseminate correspondence, memos, and reports.
  • Oversee office supplies inventory, place orders, and ensure optimal stock levels.
  • Serve as the primary point of contact for internal and external inquiries, directing them appropriately.
  • Organize and maintain physical and electronic filing systems, ensuring confidentiality and easy retrieval.
  • Assist in the preparation of presentations, documents, and other materials as needed.
  • Coordinate travel arrangements and accommodations for staff.
  • Manage incoming and outgoing mail and shipments.
  • Support HR functions with new hire onboarding documentation and record-keeping.
  • Handle basic accounting tasks such as processing invoices and expense reports.
  • Ensure office equipment is well-maintained and liaise with vendors for repairs or servicing.
  • Implement and maintain efficient administrative procedures and systems.
  • Assist with special projects and events as required by management.
