Key Responsibilities
- Manage and maintain executive schedules, appointments, and travel arrangements.
- Organize and coordinate meetings, including preparing agendas, recording minutes, and distributing materials.
- Handle incoming and outgoing communications, including emails, phone calls, and mail, with professionalism and discretion.
- Develop and maintain efficient filing systems, both physical and digital, ensuring data integrity and accessibility.
- Prepare and edit documents, presentations, and reports, ensuring accuracy and adherence to company standards.
- Assist with office management tasks, including ordering supplies, managing vendor relationships, and ensuring a tidy and organized workspace.
- Support HR-related administrative tasks, such as onboarding new employees and maintaining personnel records.
- Coordinate logistics for company events, workshops, and client meetings.
- Process invoices, expense reports, and other financial documentation in coordination with the finance department.
- Facilitate visa sponsorship processes for eligible candidates, working closely with legal counsel and immigration specialists.
- Undertake special projects and assignments as requested by senior management.
Required Skills
- Proven experience as an Administrative Officer, Executive Assistant, or similar administrative role (minimum 3 years).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
