Job Description
We are seeking a diligent and organized Part-Time Administrative Support Aide to join our team in Furancungo, Tete Province. This essential role provides crucial administrative and clerical support to ensure the smooth and efficient operation of our local office and agricultural projects. The ideal candidate will be a proactive individual with a strong commitment to accuracy, confidentiality, and excellent interpersonal skills. You will be responsible for a variety of tasks ranging from managing office correspondence and maintaining records to assisting with basic financial processes and supporting team members with day-to-day administrative needs. Key Responsibilities
- Manage incoming and outgoing correspondence, including emails, mail, and phone calls, ensuring timely and professional communication.
- Maintain organized physical and digital filing systems for administrative documents, project reports, and financial records.
- Assist with basic bookkeeping tasks, such as processing invoices, tracking expenses, and preparing simple financial reports.
- Schedule and coordinate meetings, workshops, and appointments, including preparing agendas and distributing relevant materials.
- Prepare and format various documents, reports, presentations, and spreadsheets using Microsoft Office Suite.
- Provide general office support, including managing office supplies, equipment maintenance, and maintaining a tidy work environment.
- Assist project staff with data entry, compilation of information, and preparation of materials for field activities.
- Act as the primary point of contact for visitors and external partners, ensuring a welcoming and professional reception.
- Support the human resources function by assisting with new hire paperwork and maintaining employee records confidentially.
- Perform other clerical duties as assigned to ensure the efficient operation of the Furancungo office.
Required Skills
- Proven experience in an administrative or clerical support role (minimum 1 year).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills in Portuguese and basic English.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated ability to work independently and as part of a team.
- Problem-solving aptitude and a proactive approach to work.
Preferred Qualifications
- A certificate or diploma in Business Administration, Secretarial Studies, or a related field.
