Key Responsibilities

  • Provide high-level administrative support to the A&R team, including scheduling meetings, managing calendars, and arranging travel.
  • Organize and maintain comprehensive databases for artist demos, contacts, and project statuses.
  • Assist with the preparation and processing of artist contracts, publishing agreements, and other legal documentation.
  • Manage incoming demo submissions, logging them accurately and distributing to relevant A&R managers.
  • Coordinate logistics for recording sessions, video shoots, promotional events, and artist showcases.
  • Process invoices, expense reports, and track departmental budgets, ensuring financial accuracy.
  • Facilitate internal and external communications, acting as a key point of contact for artists, management, and partners.
  • Conduct preliminary research on emerging artists, market trends, and competitive landscapes to support A&R initiatives.
  • Prepare presentations, reports, and other documents for A&R meetings and executive reviews.
  • Maintain strict confidentiality regarding sensitive artist and business information.

Required Skills

  • Proven experience in an administrative or executive assistant role, preferably within a creative industry.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • A genuine passion for music and a foundational understanding of the music industry.
  • Discretion and ability to handle confidential information with integrity.

Preferred Qualifications
