As the central point of contact for board-related matters, you will be instrumental in managing communications, scheduling, and documentation, directly impacting the effectiveness of our leadership team. Key Responsibilities

  • Coordinate and schedule board meetings, committee meetings, and other executive gatherings, including sending invitations, managing RSVPs, and booking venues.
  • Prepare comprehensive meeting agendas, distribute board packs and relevant documentation in advance, ensuring all materials are accurate and timely.
  • Attend meetings to take accurate and concise minutes, capturing key discussions, decisions, and action items.
  • Maintain and organize all board-related records, documents, and archives (both physical and digital) with strict adherence to confidentiality protocols.
  • Facilitate seamless communication between board members, senior management, and external stakeholders.
  • Assist with the onboarding process for new board members, providing them with necessary documentation and orientation.
  • Manage logistical arrangements for board events, travel, and accommodation as required.
  • Ensure compliance with corporate governance regulations and internal policies related to board administration.

Required Skills

  • Proven administrative support experience, ideally in a corporate or executive setting.
  • Exceptional organizational and time management abilities, with a keen eye for detail.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills in English and German.
  • Demonstrated ability to maintain strict confidentiality and exercise discretion.
