As a Booking Coordinator, you will be the backbone of our artists’ touring schedules, meticulously managing logistics from initial inquiry to post-event follow-up. Key Responsibilities
- Manage and maintain artist availability calendars, coordinating with management teams to align booking opportunities with artist schedules.
- Liaise with venues, promoters, and festival organisers to secure performance dates, negotiate terms, and confirm contractual agreements.
- Prepare, issue, and track booking contracts, ensuring all details are accurate and comply with industry standards and legal requirements.
- Coordinate travel, accommodation, and technical riders for artists and their teams, ensuring all logistical needs are met efficiently.
- Maintain comprehensive databases of contacts, venues, and booking information.
- Handle inbound booking inquiries, assess potential opportunities, and present viable options to artists and management.
- Process invoices, track payments, and manage financial aspects related to bookings.
- Provide administrative support to the booking team, assisting with reports, presentations, and general office duties.
- Proactively identify potential issues and provide creative solutions to ensure smooth event execution.
Required Skills
- Proven experience in an administrative or coordination role, preferably within the music, entertainment, or events industry (minimum 2 years).
- Exceptional organisational skills with keen attention to detail and the ability to manage multiple tasks simultaneously.
- Strong verbal and written communication skills, with a professional and engaging telephone manner.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM or booking management software.
- Ability to work autonomously and as part of a team in a fast-paced environment.
