Key Responsibilities

  • Provide comprehensive administrative and clerical support to project managers, site supervisors, and other construction personnel.
  • Manage and organize project documentation, including contracts, drawings, specifications, permits, and reports, ensuring easy accessibility and compliance.
  • Assist in the preparation and distribution of project-related correspondence, memos, and meeting minutes.
  • Coordinate schedules, appointments, and travel arrangements for project team members.
  • Maintain accurate records of site attendance, material deliveries, and equipment usage.
  • Liaise effectively with suppliers, subcontractors, clients, and internal departments to facilitate timely information exchange.
  • Support the procurement process by assisting with purchase orders, invoice verification, and expense tracking.
  • Ensure the site office is well-maintained, stocked with necessary supplies, and operates efficiently.
  • Assist in implementing and monitoring health and safety protocols on-site, ensuring all personnel adhere to regulations.
  • Contribute to the onboarding process for new site staff and maintain personnel records.
  • Help with data entry and management of various project databases and software systems.

Required Skills

  • Proven administrative or support experience, preferably in a fast-paced environment.
  • Exceptional organizational skills with a strong ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills in both Italian and English.
  • Demonstrated attention to detail and accuracy in all tasks.
  • Ability to work independently and as part of a team.
  • Proactive attitude with strong problem-solving capabilities.
  • Adaptability and resilience in a dynamic work setting.

Preferred Qualifications

  • Diploma or Bachelor's degree in Business Administration, Construction Management, or a related field.
  • Previous experience (1+ years) in the construction, engineering, or industrial sector.
  • Familiarity with construction management software or document control systems.
  • Basic understanding of construction terminology and project lifecycle.
  • Knowledge of health, safety, and environmental regulations relevant to construction in Italy.
