Key Responsibilities

  • Prepare and manage court documents, including pleadings, orders, and judgments, ensuring accuracy and completeness.
  • Maintain accurate and organized court records and files, both physical and electronic, in compliance with retention policies.
  • Schedule court appearances, hearings, and trials, coordinating effectively with legal professionals, parties, and witnesses.
  • Attend court sessions, record proceedings accurately, and administer oaths to witnesses and jurors when required.
  • Provide comprehensive administrative support to judges and legal staff, including drafting correspondence and managing calendars.
  • Communicate effectively with lawyers, parties, and the public regarding court procedures, case status, and general inquiries.
  • Process court fees, fines, and other financial transactions accurately, maintaining proper accounting records.
  • Assist with juror management, including summoning, orientation, and payment processing, adhering to strict protocols.
  • Ensure compliance with all relevant court rules, regulations, and legal protocols to maintain judicial integrity.
  • Handle sensitive and confidential information with the utmost discretion and professionalism at all times.

Required Skills

  • Proven administrative support experience, with at least 1 year preferably in a legal or judicial setting.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in legal terminology and understanding of basic court procedures.
  • Strong verbal and written communication skills in English and French (bilingualism preferred).
  • Advanced computer literacy, including MS Office Suite (Word, Excel, Outlook) and experience with database management.
  • Ability to manage multiple tasks, prioritize effectively, and work efficiently under pressure.
  • High level of integrity, discretion, and professionalism in handling sensitive information.
  • Strong problem-solving abilities and a proactive approach to work challenges.

Preferred Qualifications

  • A diploma or degree in Legal Administration, Paralegal Studies, or a related field.
  • Experience with specific court management software or legal case management systems.
  • Knowledge of the Canadian judicial system structure and operations, particularly in Quebec.
  • Ability to adapt quickly to new technologies and procedural changes within a legal environment.
  • Previous experience working directly with judges or legal counsel.
  • Familiarity with public sector administrative processes.
