Key Responsibilities

  • Process and manage incoming and outgoing court documents, ensuring accuracy and adherence to strict deadlines.
  • Maintain and update physical and electronic case files, records, and databases with meticulous attention to detail.
  • Assist legal professionals, court users, and the public with inquiries, providing accurate information and guidance in a professional manner.
  • Prepare courtrooms for hearings, trials, and other proceedings, including setting up equipment and necessary documentation.
  • Schedule appointments, manage diaries, and coordinate meetings for court officials and staff.
  • Handle sensitive and confidential information with the utmost discretion and in compliance with data protection regulations.
  • Liaise with various internal departments and external agencies to facilitate case progression and information exchange.
  • Support the general administrative functions of the registry, including photocopying, scanning, and mail management.
  • Operate court management systems and other relevant software applications efficiently.
  • Assist in the preparation of statistical reports and summaries as required.

Required Skills

  • Proven experience in an administrative or office support role, preferably within a legal or public sector environment (12 months minimum)
  • Exceptional organizational and time management skills with the ability to prioritize a heavy workload.
  • High level of accuracy and attention to detail, particularly in data entry and document management.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database systems.
  • Excellent written and verbal communication skills, capable of interacting effectively with diverse stakeholders.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with integrity.
  • Strong problem-solving skills and a proactive approach to tasks.

Preferred Qualifications

  • Previous experience working within a court registry, legal firm, or similar justice system setting.
  • Knowledge of legal terminology and court procedures in Scotland.
  • Qualification in Business Administration, Legal Studies, or a related field.
