Key Responsibilities
- Greet patients warmly, register new patients, and update existing patient information.
- Schedule and confirm appointments efficiently, managing the dental practice's calendar.
- Answer phone calls, respond to emails, and manage general inquiries with professionalism.
- Process patient payments, manage billing, and handle insurance claims submissions.
- Maintain patient records with strict confidentiality and accuracy, both digital and physical.
- Coordinate with dental hygienists and dentists to ensure smooth patient flow.
- Prepare daily and weekly reports as required by practice management.
- Ensure the reception area is tidy, welcoming, and well-stocked with necessary forms.
- Manage incoming and outgoing mail, faxes, and general office correspondence.
- Assist with basic office administrative tasks as needed to support the dental team.
Required Skills
- Minimum 1-2 years of experience as a Dental Receptionist or in a similar administrative role within a dental office.
- Proficiency with dental practice management software (e.g., Dentrix, Abeldent, Open Dental).
- Excellent communication and interpersonal skills, with a patient-first approach.
- Strong organizational abilities and attention to detail.
- Ability to multitask and prioritize effectively in a busy environment.
- Solid understanding of dental terminology and procedures.
- High school diploma or equivalent.
Preferred Qualifications
- Completion of a dental administration or medical office assistant program.
- Familiarity with dental insurance policies and claims processing.
- Experience with electronic health records (EHR) systems.
- Bilingualism (English plus another common language in Toronto, e.g., Mandarin, Cantonese, Tagalog) is an asset.
