Key Responsibilities

  • Warmly greet and welcome patients upon arrival, managing check-in and check-out procedures.
  • Efficiently schedule and confirm patient appointments, ensuring optimal flow for dental professionals.
  • Answer incoming calls, address patient questions, and accurately direct inquiries.
  • Verify dental insurance eligibility and benefits, and accurately process claims.
  • Collect and process patient payments, clearly explaining financial options and handling billing inquiries.
  • Maintain precise and confidential patient records, ensuring data integrity and compliance.
  • Organize and manage both physical and electronic patient files.
  • Ensure the reception area remains tidy, inviting, and well-supplied with necessary forms and information.
  • Assist with various administrative tasks including filing, scanning, faxing, and correspondence.
  • Collaborate effectively with dental assistants, hygienists, and dentists to ensure seamless patient care.
  • Communicate treatment plans and financial arrangements to patients in an understandable and compassionate manner.

Required Skills

  • Proven excellent verbal and written communication skills.
  • Strong organizational capabilities and the ability to multitask effectively under pressure.
  • Proficiency in dental office software (e.g., Dentrix, Eaglesoft) or similar patient management systems.
  • Exceptional customer service orientation and strong interpersonal skills.
  • Demonstrated ability to work both independently and collaboratively within a team setting.
  • High level of professionalism, discretion, and meticulous attention to detail.
  • Competency in using Microsoft Office Suite (Word, Excel, Outlook).

Preferred Qualifications

  • Minimum of one year (12 months) of experience as a Dental Receptionist or in a comparable medical office administrative role.
  • In-depth knowledge of dental terminology, procedures, and insurance processing.
  • Experience with electronic health records (EHR) systems.
  • High school diploma or GED equivalent required; an Associate's degree or higher is highly preferred.
