Job Description

Key Responsibilities

  • Accurately prepare, sort, and scan a high volume of various physical documents into digital formats.
  • Perform quality checks on scanned images to ensure clarity, completeness, and legibility.
  • Index and organize digital documents according to established naming conventions and filing systems.
  • Maintain confidentiality and security of all sensitive information handled.
  • Operate and troubleshoot scanning equipment and related software.
  • Assist with the retrieval of digital and physical documents as requested by various departments.
  • Collaborate with team members to ensure efficient workflow and meet project deadlines.
  • Support general administrative tasks as needed within the department, contributing to overall office efficiency.

Required Skills

  • High school diploma or equivalent.
  • Basic computer proficiency (e.g., Microsoft Office Suite, email).
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Good communication skills in Portuguese and/or English.
  • Physical ability to lift and move boxes of documents (up to 20 lbs) occasionally.

Preferred Qualifications

  • Prior experience in an office environment or with document handling.
  • Familiarity with scanning equipment and basic document management software.
  • Basic understanding of file organization and archiving principles.
  • Proficiency in both Portuguese and English.
