Job Description

ZanTours is seeking a dedicated Document Scanning Assistant to join our administrative team. In this crucial role, you will be instrumental in digitalizing and organizing a vast array of important company documents, ensuring their secure storage and easy accessibility. Key Responsibilities
- Prepare physical documents for scanning, including removing staples, repairing tears, and organizing pages sequentially.
- Operate high-speed document scanners with precision and care.
- Perform rigorous quality checks on scanned images to ensure clarity, completeness, and accuracy.
- Index and classify digital documents according to established naming conventions and filing systems.
- Identify and correct scanning errors or poor-quality images promptly.
- Maintain and troubleshoot scanning equipment, performing routine cleaning and minor adjustments.
- Ensure the confidentiality and security of all sensitive information handled during the scanning and indexing process.
- Assist in maintaining a clean and organized work area, especially around scanning equipment and document storage.
- Communicate effectively with team members and supervisors regarding document status, progress, and any issues encountered.
- Adhere strictly to data protection regulations and company privacy policies at all times.

- Exceptional attention to detail and a high degree of accuracy.
- Basic proficiency in computer usage, including file management and data entry.
- Reliability, punctuality, and strong organizational skills.

- Experience with digital archiving or electronic document management systems (EDMS).
- High school diploma or equivalent qualification.
- Fluency in English; knowledge of Swahili is considered a significant advantage.
