Victoria Language & Cultural Exchange is seeking a highly motivated and enthusiastic Entry-Level Translation Project Assistant to join our dedicated team in Esquimalt, Victoria. As an Entry-Level Translation Project Assistant, you will play a crucial supporting role in the full project lifecycle, from initial client inquiry to final delivery. You will be instrumental in ensuring the smooth operation of translation projects, assisting our Project Managers with various administrative and logistical tasks. This includes preparing project files, coordinating with our network of professional translators and proofreaders, tracking project progress, and ensuring that all deadlines and quality standards are met. Key Responsibilities

  • Assist Project Managers in coordinating translation, localization, and DTP projects from initiation to delivery.
  • Prepare project files, including source documents, reference materials, and glossaries, for translation.
  • Facilitate communication between Project Managers, clients, and our global network of linguists.
  • Monitor project progress and proactively identify potential delays or issues, escalating as necessary.
  • Perform initial quality checks on delivered translations to ensure adherence to project instructions and client specifications.
  • Manage and update project documentation, databases, and internal tracking systems.
  • Assist with vendor management tasks, including onboarding new linguists and tracking performance.
  • Support administrative tasks such as scheduling meetings, preparing reports, and managing correspondence.
  • Learn and utilize Computer-Assisted Translation (CAT) tools and Translation Management Systems (TMS).
  • Contribute to process improvement initiatives to enhance efficiency and client satisfaction.

Required Skills

  • Exceptional organizational and time management skills with a strong ability to multitask.
  • Outstanding written and verbal communication skills in English.
  • High level of attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work effectively both independently and as part of a collaborative team.
  • Strong problem-solving abilities and a proactive approach to challenges.
  • A genuine interest in languages, cultures, and the translation industry.
  • Legally authorized to work in Canada.

Preferred Qualifications

  • Bachelor’s degree in Linguistics, Translation, Communications, International Studies, or a related field.
  • Familiarity with Computer-Assisted Translation (CAT) tools (e.g., Trados Studio, MemoQ, Memsource).
  • Basic understanding of translation project workflows.
  • Proficiency in a second language (any language).
  • Previous administrative or project coordination experience (even if informal or volunteer).
