Key Responsibilities

  • Lead the comprehensive planning, coordination, and execution of all non-profit events, from small workshops to large-scale fundraising galas.
  • Develop detailed event proposals, timelines, budgets, and post-event reports.
  • Identify, secure, and manage relationships with venues, vendors, caterers, and other service providers.
  • Negotiate contracts to ensure cost-effectiveness and high-quality service delivery.
  • Coordinate event logistics, including registration, audiovisual needs, speaker arrangements, transportation, and volunteer scheduling.
  • Collaborate with marketing and communications teams to develop promotional materials and strategies for events.
  • Manage event registration platforms and attendee communications.
  • Recruit, train, and supervise event volunteers, ensuring a positive and productive experience.
  • Oversee on-site event setup, execution, and tear-down, ensuring smooth operations and problem resolution.
  • Track and analyze event performance against established goals, providing insights for future improvements.
  • Ensure all events adhere to safety guidelines, accessibility standards, and organizational policies.
  • Cultivate strong relationships with sponsors, donors, and community partners.

Required Skills

  • Minimum 2 years of experience in event planning and coordination, preferably in the non-profit sector.
  • Proven ability to manage multiple projects simultaneously and meet tight deadlines.
  • Exceptional organizational and time management skills with meticulous attention to detail.
  • Strong budget management and negotiation skills.
  • Excellent written and verbal communication skills.
  • Proficiency in event management software (e.g., Eventbrite, Cvent) and Microsoft Office Suite.
  • Ability to work collaboratively in a team environment and interact effectively with diverse stakeholders.
  • Demonstrated problem-solving skills and ability to thrive under pressure.
  • A genuine passion for community engagement and the mission of non-profit organizations.

Preferred Qualifications

  • Bachelor’s degree in Marketing, Communications, Hospitality Management, Non-Profit Management, or a related field.
  • Experience with fundraising events and donor cultivation.
  • Certification in Event Management (e.g., CMP – Certified Meeting Professional).
  • Familiarity with the Westminster, Colorado non-profit landscape and local vendor networks.
  • Experience in volunteer recruitment and management.
