Job Description

Crowne Plaza Nairobi Airport is seeking a dynamic Event Planner to join our bustling hospitality team in Imara Daima, Nairobi. In this pivotal coordination role, you will be the maestro behind seamless events, from intimate corporate meetings to grand conferences, elaborate weddings, and celebratory social gatherings. You will work closely with clients, understanding their vision and meticulously translating it into flawless execution from concept to completion.

As an integral part of our F&B and Sales departments, you will not only manage logistics but also contribute significantly to the overall guest experience, ensuring every event held at our prestigious venue upholds the Crowne Plaza standard of excellence. You’ll be responsible for coordinating all facets of event planning, including venue setup, catering, audiovisual requirements, décor, external vendor management, and staffing, ensuring every detail aligns with client expectations and our operational capabilities. Key Responsibilities
- Manage client relationships from initial inquiry through to post-event follow-up, ensuring clear communication and client satisfaction.
- Develop detailed event proposals, including budgeting, timelines, floor plans, and vendor contracts.
- Coordinate with internal departments (Culinary, Banquets, Audiovisual, Front Office) to ensure seamless event execution.
- Liaise with external vendors (decorators, entertainers, photographers) to secure services and ensure timely delivery.
- Conduct site inspections and client meetings to understand event requirements and showcase venue capabilities.
- Oversee event setup and breakdown, ensuring all arrangements meet quality standards and client specifications.
- Manage event budgets, process payments, and track expenses to ensure profitability and adherence to financial guidelines.
- Anticipate and resolve any issues that may arise during the planning or execution phases, maintaining a calm and professional demeanor.
- Maintain up-to-date knowledge of event trends, competitor offerings, and industry best practices.
- Prepare comprehensive post-event reports, gathering feedback and identifying areas for improvement.
Required Skills
- Minimum of 2 years of proven experience in event planning and coordination, preferably within the hospitality sector.
- Exceptional organizational and time management skills with the ability to manage multiple projects simultaneously.
- Strong interpersonal and communication skills (verbal and written) for effective client and vendor interaction.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
- Demonstrated ability to work under pressure and adapt to changing priorities.
- A keen eye for detail and a commitment to delivering high-quality, memorable events.
- Problem-solving aptitude with a proactive and solution-oriented approach.
- Ability to work flexible hours, including evenings and weekends, as dictated by event schedules.
Preferred Qualifications
- Bachelor’s degree or Diploma in Hospitality Management, Event Management, Marketing, or a related field.
- Certification in Event Planning (e.g., CMP – Certified Meeting Professional).
- Familiarity with local Nairobi vendors and event service providers.
- Experience with CRM systems and event booking platforms.
- Fluency in additional languages beyond English (e.g., Swahili).
