Job Description

Are you a highly organized, creative, and detail-oriented individual with a passion for bringing events to life and maintaining impeccable order? Event Dimensions Ltd. is seeking a talented Event Planner & Professional Organizer to join our vibrant team in Highridge, Nairobi. This pivotal role combines the strategic foresight of an event planner with the meticulous precision of a professional organizer, ensuring every project, from concept to completion, runs seamlessly and efficiently. You will be responsible for conceptualizing, planning, and executing a diverse range of corporate and private events, as well as establishing and maintaining organizational systems within project workflows and client environments.

Your day-to-day will involve working closely with clients to understand their needs, developing compelling event proposals, managing budgets, coordinating vendors, and overseeing on-site execution to deliver spectacular outcomes. Beyond the glamour of events, you will also apply your organizational prowess to streamline processes, manage resources, and ensure all logistical aspects are handled with precision. Key Responsibilities

  • Lead the planning, design, and execution of various corporate and private events, ensuring they align with client objectives and budget.
  • Develop comprehensive event proposals, presentations, and detailed project plans, including timelines, budgets, and resource allocation.
  • Source, negotiate with, and manage vendors, suppliers, and service providers (e.g., venues, caterers, audiovisual, entertainment) to ensure high-quality delivery.
  • Serve as the primary point of contact for clients, providing exceptional communication, managing expectations, and offering solutions throughout the event lifecycle.
  • Oversee on-site event setup, coordination, and breakdown, ensuring seamless operation and addressing any issues proactively.
  • Implement and maintain professional organizing systems for event resources, documentation, and operational workflows to enhance efficiency.
  • Manage event budgets, track expenses, process invoices, and ensure financial accountability for each project.
  • Conduct post-event evaluations, analyze feedback, and prepare reports to assess success and identify areas for improvement.
  • Stay updated with industry trends, emerging technologies, and best practices in event management and professional organizing.
  • Collaborate effectively with internal teams, including marketing, sales, and logistics, to ensure cohesive project delivery.

Required Skills

  • Proven experience in event planning and project management (minimum 3 years)
  • Exceptional organizational and time management skills
  • Strong budgeting and financial management capabilities
  • Excellent negotiation and vendor management abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software
  • Outstanding communication, presentation, and interpersonal skills
  • Ability to work under pressure and manage multiple projects simultaneously
  • Creative thinking and problem-solving aptitude
  • High degree of professionalism and client-facing etiquette

Preferred Qualifications

  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field
  • Certification in Event Planning (e.g., CMP, CSEP) or Project Management (e.g., PMP)
  • Experience with international events or large-scale conferences
  • Fluency in additional languages (e.g., Swahili)
