Career.zycto is seeking a highly motivated and experienced freelance Event Planner specializing in both wedding and corporate events to join our dynamic network of elite professionals. This unique opportunity allows you to leverage your expertise in a flexible, project-based capacity, working on diverse and exciting events across Hope Pastures, St. Andrew, and potentially wider Jamaica. As a freelance Event Planner partnered with Career.zycto, you will be the architect of unforgettable experiences, transforming client visions into spectacular realities. Your role will involve end-to-end event conceptualization, meticulous planning, and flawless execution for a range of discerning clients. For weddings, this means crafting highly personalized ceremonies and receptions that reflect each couple’s unique love story and cultural preferences, from initial consultation and theme development to vendor selection, budget management, timeline creation, and seamless day-of coordination. You will be responsible for sourcing stunning venues, coordinating caterers, florists, photographers, entertainment, and transportation, ensuring every detail contributes to a magical and stress-free celebration.

For corporate engagements, you will be instrumental in designing impactful conferences, seminars, product launches, gala dinners, team-building retreats, and executive meetings that align precisely with our clients’ strategic goals and brand identity. This involves understanding their objectives, developing engaging concepts, managing logistical complexities, and ensuring all technical requirements, speaker arrangements, and branding elements are meticulously handled. Your ability to create a professional, inspiring, and productive atmosphere is key.

Key Responsibilities

  • Consult with clients to understand their event objectives, preferences, and budget for both wedding and corporate events.
  • Develop comprehensive event concepts, themes, and detailed proposals.
  • Create and manage detailed event timelines, checklists, and budgets.
  • Source, negotiate, and manage contracts with vendors (venues, caterers, florists, photographers, entertainers, A/V, etc.).
  • Coordinate all logistical elements, including guest lists, invitations, seating arrangements, transportation, and accommodation if required.
  • Oversee event setup, execution, and breakdown, ensuring smooth operations and problem-solving on-site.
  • Manage client communication, providing regular updates and addressing concerns promptly.
  • Ensure all events comply with safety regulations and local ordinances.
  • Conduct post-event evaluations and provide feedback to clients.
  • Build and maintain a strong network of reliable vendors and industry contacts.

Required Skills

  • Proven experience (3+ years) in event planning, specifically with both wedding and corporate events.
  • Exceptional organizational and time management skills.
  • Strong budget management and negotiation abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in event management software (e.g., Aisle Planner, Cvent, Trello).
  • Ability to work independently and manage multiple projects simultaneously.
  • Creative vision and a keen eye for detail.
  • Problem-solving skills and ability to perform under pressure.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certification in Event Management (e.g., CMP, CSEP).
  • Established network of local Jamaican vendors and venues.
  • Experience with virtual or hybrid event planning platforms.
  • Fluency in multiple languages (beneficial for corporate clients).
