Career.zycto is actively seeking a highly skilled and passionate freelance Event Planner specializing in both wedding and corporate events to join our network of exceptional professionals in Balaclava, St. Elizabeth. This is a unique opportunity for an experienced planner to leverage their creativity, organizational prowess, and client management skills to deliver unparalleled experiences for a diverse clientele. As a freelance Event Planner, you will be the driving force behind turning our clients’ visions into reality, from intimate wedding celebrations to large-scale corporate functions and everything in between.

Your role will involve comprehensive event management, from initial concept development and budgeting to vendor selection, on-site coordination, and post-event follow-up. We are looking for an individual who can not only manage logistics flawlessly but also infuse each event with a distinctive touch that reflects the client’s unique style and objectives. The ideal candidate thrives in a dynamic environment, possesses an exceptional eye for detail, and demonstrates a proactive approach to problem-solving. You will manage multiple projects concurrently, ensuring each event is executed to the highest standards of professionalism and creativity. Key Responsibilities

  • Serve as the primary point of contact for clients, understanding their vision, requirements, and budget for both wedding and corporate events.
  • Develop detailed event proposals, including concept, theme, budget breakdown, vendor recommendations, and comprehensive timelines.
  • Source, negotiate, and manage relationships with a wide range of vendors (caterers, venues, decorators, photographers, entertainers, audio-visual technicians, etc.) to ensure competitive pricing and high-quality service.
  • Create and meticulously manage event budgets, tracking all expenses, reconciling accounts, and ensuring profitability for each project.
  • Develop comprehensive event timelines and schedules, ensuring all planning milestones are met efficiently and effectively.
  • Oversee all logistical aspects of events, including venue setup, décor, equipment rental, catering services, guest management, and staffing coordination.
  • Provide diligent on-site management during events, ensuring smooth execution, managing unforeseen challenges, and promptly resolving any issues that arise.
  • Conduct thorough post-event evaluations to gather feedback from clients and vendors, analyze success metrics, and identify areas for continuous improvement.
  • Maintain up-to-date knowledge of industry trends, emerging best practices, innovative technologies, and new vendors in event planning.

Required Skills

  • Proven experience in event planning, specifically with a strong portfolio showcasing both wedding and corporate events.
  • Exceptional organizational and time management skills, capable of handling multiple complex projects simultaneously under tight deadlines.
  • Strong budget management, financial tracking, and negotiation abilities.
  • Excellent verbal and written communication, presentation, and interpersonal skills, with a strong client-centric approach.
  • Proficiency in event management software (e.g.,monday.com, Asana, Eventbrite) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Creative flair, an exceptional eye for aesthetics and intricate detail, and a passion for crafting unique experiences.
  • Ability to work independently, manage own schedule effectively, and consistently meet demanding project deadlines.
  • Demonstrated problem-solving capabilities, adaptability, and composure under pressure.
  • Valid driver’s license and access to reliable transportation for essential site visits, vendor meetings, and event days.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, Business Administration, or a related field.
  • Certification in Event Management (e.g., CSEP – Certified Special Events Professional, CMP – Certified Meeting Professional).
  • Existing robust network of trusted local vendors and venues in St. Elizabeth and surrounding parishes.
  • A comprehensive professional portfolio demonstrating a diverse range of successful wedding and corporate events.
  • Fluency in additional languages relevant to the diverse local clientele.
  • Experience with digital marketing and social media promotion for events.
