Job Description

As an Exhibition Coordinator at Career.zycto, you will be the lynchpin in bringing captivating exhibition experiences to life. This pivotal role involves meticulously planning, executing, and overseeing all logistical and operational aspects of various events, from initial concept to post-event analysis. You will collaborate closely with clients, suppliers, and internal teams to ensure seamless delivery, adherence to budgets, and exceptional attendee experiences. Your keen eye for detail, proactive problem-solving abilities, and passion for the events industry will be crucial in managing multiple projects concurrently, maintaining high standards, and exceeding expectations. Key Responsibilities

  • Manage the full lifecycle of exhibition projects, from planning and design to execution and post-event evaluation.
  • Develop detailed project plans, timelines, and budgets, ensuring all deadlines and financial parameters are met.
  • Coordinate with vendors, suppliers, and contractors for venue bookings, stand construction, AV equipment, catering, and other event services.
  • Communicate regularly with clients to understand their objectives, provide updates, and manage expectations.
  • Oversee on-site event setup, operations, and dismantling, ensuring smooth execution and troubleshooting any issues.
  • Prepare and present post-event reports, analyzing success metrics and identifying areas for improvement.
  • Ensure all exhibitions comply with health and safety regulations and venue specific guidelines.
  • Manage registration processes, attendee communications, and on-site support.

Required Skills

  • Proven experience in exhibition or event coordination.
  • Exceptional organizational and project management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to manage multiple projects simultaneously under pressure.
  • Demonstrated problem-solving and decision-making capabilities.
  • Excellent negotiation and vendor management skills.
  • Detail-oriented with a high level of accuracy.

Preferred Qualifications

  • A degree or certification in Event Management, Marketing, or a related field.
