Job Description

Career.zycto is seeking a highly organized, professional, and friendly Front Desk Officer & Office Receptionist to join our vibrant team in Dandora, Nairobi. This pivotal role is the first point of contact for all visitors and callers, setting the tone for our professional environment. You will be instrumental in ensuring the smooth daily operations of our front office, managing communications, and providing crucial administrative support to various departments.

Key Responsibilities

  • Greet and welcome guests as soon as they arrive at the office, directing them appropriately.
  • Answer, screen, and forward incoming phone calls in a professional and courteous manner.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, brochures).
  • Receive, sort, and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Order front office supplies and keep an inventory of stock.
  • Update calendars and schedule meetings for management and staff.
  • Perform various administrative duties such as filing, photocopying, transcribing, and faxing.
  • Handle queries from clients and candidates, providing accurate information and directing them to the relevant person.
  • Assist with basic bookkeeping, data entry, and record-keeping.
  • Coordinate office activities and operations to secure efficiency and compliance to company policies.

Required Skills

  • Proven work experience as a Front Desk Officer, Receptionist, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Hands-on experience with office equipment (e.g., fax machines and printers).
  • Professional attitude and appearance.
  • Solid written and verbal communication skills in English and Swahili.
  • Excellent organizational and multitasking abilities.
  • Customer service-oriented approach.
  • Ability to be resourceful and proactive when issues arise.

Preferred Qualifications

  • Diploma or Certificate in Office Administration, Business Management, or a related field.
