Key Responsibilities

  • Warmly greet and welcome visitors, clients, and staff, ensuring a positive first impression for Career.zycto.
  • Manage a multi-line phone system, directing incoming calls to the appropriate departments or individuals efficiently and professionally.
  • Maintain a tidy, organised, and professional reception and waiting area at all times.
  • Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and dispatch.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist with various administrative tasks, including data entry, filing, scanning, photocopying, and document preparation.
  • Monitor and maintain office supplies inventory, placing orders as needed to ensure smooth operations.
  • Liaise effectively with internal teams and external vendors, suppliers, and service providers.
  • Provide general information to visitors and callers about the organisation, services, and local area.
  • Process and track visitor sign-ins and sign-outs, strictly adhering to security protocols and maintaining visitor logs.
  • Support event coordination and hospitality functions as required.

Required Skills

  • Excellent verbal and written communication skills in English, with a professional and welcoming tone.
  • Proven experience (minimum 1 year) as a Receptionist, Front Office Representative, or in a similar customer-facing administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with general office software.
  • Strong organisational and multitasking abilities, with a keen eye for detail and accuracy.
