Job Description

We are seeking a highly organized and detail-oriented HR Records Management Assistant to join our team in Corktown, Hamilton, for an immediate start. Key Responsibilities

  • Manage and maintain accurate physical and digital employee records, ensuring data integrity and confidentiality.
  • Process new hire documentation, terminations, and changes in employee status promptly and accurately.
  • Perform regular audits of HR files to ensure compliance with company policies and legal requirements.
  • Assist with the scanning, indexing, and archiving of documents into our HR information system (HRIS).
  • Respond to internal and external requests for employee information in accordance with privacy regulations.
  • Support HR team with general administrative tasks, including scheduling, correspondence, and report generation.
  • Ensure proper classification and storage of sensitive HR documents.
  • Identify and recommend improvements for records management processes and systems.
  • Maintain up-to-date knowledge of relevant employment laws and data protection regulations.
  • Collaborate with other departments to ensure seamless information flow and data accuracy.

Required Skills

  • Proven experience (1+ year) in an administrative or records management role, preferably within HR.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong understanding of data confidentiality and privacy principles (e.g., PHI, PII).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Excellent written and verbal communication skills.

  • High level of integrity and discretion when handling sensitive information.
